What is Work Time?

Work Time is a shopfloor timing system built for Philtronics Ltd. When an operator starts working on an assembly job they press START. When they finish they press STOP. The system records exactly how long the job took, which workstation it was done on, and which work order it belongs to.

Supervisors and managers can see all active jobs in real time on the Wall Board, pause and resume any job, message operators directly, and monitor performance against target times. All elapsed times shown exclude paused time, so the figures always reflect genuine working time.

If you can use a smartphone, you can use Work Time. Everything is done with large, clearly labelled buttons on a tablet screen.

Signing In

Open Chrome on your tablet and navigate to the Work Time web address your supervisor gave you.

Not case-sensitive.

Tap Sign In

Operators go straight to the Timer screen. Supervisors and above go to the Home dashboard. Managers and Administrators also complete a 2FA step if configured.

10 failed attempts locks the device for 15 minutes.

Two-Factor Authentication (2FA)

Manager and Administrator accounts must use two-factor authentication for Cyber Essentials compliance. Operator and Supervisor accounts use standard password login only.

Setting up 2FA for the first time

A setup screen appears automatically after your first login as a Manager or Administrator.

Download an authenticator app

Google Authenticator or Microsoft Authenticator -- free from the App Store or Google Play.

Scan the QR code shown on screen

Open the authenticator app, tap the + button, and scan.

Enter the 6-digit code and tap Enable 2FA

The code changes every 30 seconds. Once confirmed, 2FA is active.

Logging in with 2FA

After entering your username and password correctly, a Two-Factor Verification screen appears. Open your authenticator app, find the Work Time entry, type the 6-digit code, and tap Verify.

Lost your phone?

Contact your administrator -- they can reset your 2FA so you can set it up on a new device.

Starting a Job Timer

Operators land directly on the Timer screen after login. Fill in the job details and tap the green START button.

Form Fields Explained

Scanning a Barcode or QR Code

Every field with a ⊞ Scan button can be filled by scanning with the tablet camera.

Tap Allow when Chrome asks. You will not be asked again on this device.

The system reads it automatically. Good lighting helps.

In low light a Torch button appears at the bottom of the camera screen.

Stopping a Job Timer

Once started the screen shows a large running clock. Tap STOP as soon as you finish the job. The duration recorded is net working time only -- any paused time is automatically excluded.

Timer restores automatically.

If you close the browser or switch devices, your active timer restores when you log back in. The elapsed time is calculated from the server so it is always accurate.

Target Time on the Timer Screen

If a manager has set a target time for the item you are working on, a progress bar appears beneath the running clock.

The label shows the target time and either the time remaining or how long overdue, updating live every second. If no target is set, the progress bar is not shown.

Pausing and Resuming Your Own Timer

Operators can pause their own running timer at any time using the ⏸ Pause button next to the STOP button.

When paused:

Tap â–ļ Resume to continue the timer. All paused time is excluded from the final duration when you stop.

Auto-pause notification.

If your timer is automatically paused outside working hours (see Working Hours Auto-Pause), a toast notification appears on your screen and the pause button updates automatically.

Cancelling a Timer

Within 60 seconds of starting

Tap the Cancel button next to STOP. A confirmation box appears -- confirm or tap Keep Running to go back.

After 60 seconds

Only a Supervisor or above can cancel. Ask your supervisor -- they must enter a reason which is permanently recorded.

Viewing Your History

Tap the menu (☰) then History to see your completed jobs. The default view shows the last 7 days. Each entry shows the item number, workstation, W/O number, start and end times, duration, and any Time Check or target time badges.

Supervisor: Home Dashboard

Supervisors, Managers, and Administrators land on the Home dashboard after login rather than the Timer screen. It gives an at-a-glance view of the entire shopfloor.

Tap the menu then Wall Board for the full interactive wallboard. Each tile shows the item number, operator name, elapsed time (counting up live), workstation, W/O number, and a target progress bar if a target is set.

Tile border colours:

The board refreshes every 5 minutes. Tap Refresh for an instant update.

Wall Board Compact

Tap the menu then Wall Board Compact for the TV display mode. Designed for a large shopfloor monitor -- shows as many tiles as possible with operator name, item number, and elapsed time. The same colour logic applies including the blue pulsing tile for paused jobs.

Wall Board Compact -- presence dots visible, blue tile for paused job

Presence Indicator

Every operator tile on both wallboards shows a small dot next to the operator's name indicating whether they are currently logged in.

The dot updates whenever the wallboard refreshes. An operator with a red dot will not receive messages sent via the wallboard.

Pausing Timers from the Wall Board

Supervisors, Managers, and Administrators can pause or resume any operator's timer directly from the Wall Board using the ⏸ Pause and â–ļ Resume buttons at the bottom of each tile.

The wallboard refreshes immediately to reflect the new state.

Pause buttons are only on the main Wall Board.

The Compact Wall Board is a display-only view and does not have pause buttons.

Paused tiles pulse blue.

Any paused timer shows a blue pulsing border on both the main and compact wallboard, making them easy to spot at a glance.

Messaging Operators

Supervisors and above can send a real-time message to any operator who is currently logged in. Messages appear instantly as a popup on the operator's screen with an audio ping.

Up to 500 characters. Press Ctrl+Enter to send quickly.

It stays until dismissed or after 60 seconds.

Check the presence dot first.

If the operator's dot is red they are not currently connected and the message will not be delivered. Ask them to log back in and try again.

Supervisor: Viewing All History

The History screen has additional filters for Supervisors -- search by Operator ID, Item Number, and Status. Leave fields blank to see all records.

Finding stuck timers.

In the Status dropdown select Active (stuck timers) and tap Search. This removes the date filter so any timer still showing as active appears regardless of when it was started.

Manager: Dashboard

Tap the menu then Dashboard for production statistics across all operators. Use the date range and other filters then tap Search.

The performance table columns:

Manager: Target Times

Tap the menu then Target Times to manage the target completion time per item number. Targets appear on the Wall Board tiles, the operator timer screen, and history entries.

Saved immediately and visible on all active tiles for that item.

To edit an existing target tap Edit next to the item. To remove a target tap the delete button.

Manager: CSV Export

On the Dashboard, set your filters and tap Export CSV. The file downloads to your device and opens in Excel or Google Sheets. The export includes Item Number, Operator, Workstation, W/O Number, Start and End times, Duration (net working time), Time Check flag, and Status.

Administrator: Managing Users

Adding a User and Resetting a Password

Adding: Tap Admin then + New User. Fill in Username, Full Name, Password (8+ characters) and Role. Tap Create User.

Resetting a password: Find the user in the list, tap Reset PW, enter a new password, tap Reset Password.

Disabling an account: Tap Edit next to the user, untick Account Active, tap Save Changes. History records are kept.

Resetting a User's 2FA

Find the user in the list and tap Reset 2FA. They will be prompted to set up 2FA again on their next login.

Only reset 2FA when you are certain of the user's identity.

Deleting a Timer Record

Go to History, find the record, and tap the delete button (🗑). A confirmation box appears before anything is deleted. Deletion is permanent and cannot be undone.

Cancel All Stuck Timers.

In the Admin page there is an emergency tool to cancel all currently active timers at once. A reason is recorded for every cancellation.

Working Hours Auto-Pause

Work Time automatically pauses all active timers outside working hours and resumes them when the working day begins.

All elapsed times always reflect net working time only. A job started on Friday at 15:00 and stopped Monday at 09:00 will record approximately 1.5 hours -- the actual time worked, not the 66 hours the clock ran.

Operator notification.

When a timer is auto-paused or auto-resumed, a notification appears on the operator's Timer screen automatically.

Troubleshooting

I cannot sign in

Check your username and password. Passwords are case-sensitive. After 10 failed attempts wait 15 minutes. If your account may be disabled, contact your administrator.

I am not being asked for my 2FA code

2FA is required for Manager and Administrator accounts only. If you have not yet set up 2FA you will see a setup prompt after login.

The Scan button is not working

Make sure you are using Google Chrome version 83 or later. If camera permission was denied, tap the padlock icon in the address bar, change Camera to Allow, then refresh.

My active timer is not showing after a refresh or on a different device

Tap the menu then Timer. The system restores your active timer automatically. If you see an error but no STOP button, sign out and back in.

My timer was auto-paused and I do not know why

Timers are automatically paused outside working hours (07:45--16:30 Monday--Friday). If you are working during those hours and your timer was paused, a supervisor may have manually paused it from the Wall Board. Contact your supervisor.

I sent a message but the operator did not receive it

Check the presence dot on the operator's wallboard tile. A red dot means they are not currently logged in -- the message will not be delivered. Ask them to log in and try again.

The page is not loading

Check the tablet is connected to Wi-Fi. Pull down to refresh. Wait 30 seconds and try again if the problem continues.
